Staff, teachers and payroll

Adding teaching and non-teaching staff, running monthly payroll, and handling leave requests.

In short. Staff are added in three groups — teachers, other staff and accountants — because each gets a different portal. Payroll runs monthly from those records. Leave requests come in from staff and are approved by an administrator.

Teachers

Add teaching staff under Staff › Teachers. A teacher record holds their name, contact details and employment details.

Adding a teacher does not by itself give them any classes. That happens in Academic › Subject Assignments, where you say which subject they teach to which section — see Academic years, classes and subjects. Until then their portal will look empty.

What teachers can do

The teacher portal covers: their classes, marking attendance, setting and grading assignments, exam schedules, entering results, continuous assessment tests, lesson plans, their timetable, applying for leave, announcements, the academic calendar, events, messages, their own documents and their payslips.

A teacher sees the classes assigned to them and nobody else's. They cannot grade another teacher's submissions.

Adding a lot of staff at once

The teachers and staff pages both have Import and Export buttons, working the same way as the student import: a spreadsheet in, one record and one sign-in account per row, failed rows reported by line number. The teacher import respects your plan's teacher limit.

Non-teaching staff

Staff › Staff is for everyone else — administrative and support staff. By default this role has read access to the day-to-day modules (students, classes, attendance, exams, fees, assignments, leave, hostel, transport, announcements, documents and reports) and can mark attendance, but cannot change academic or financial records.

Accountants

Staff › Accountants adds finance staff, who get their own portal: fee invoices, fee payments, payroll, financial reports and the subscription. They can see students, because invoices belong to students, but not academic records.

The accountant portal is part of the Accountant Management feature and is only available on plans that include it. See Your subscription.

Payroll

Run payroll from Staff › Payroll, monthly. A payroll record covers basic pay, allowances, deductions, tax and the resulting net payment, and tracks whether it has been paid.

Once a payslip exists, the member of staff can see it themselves under My Payslips on their portal, so you do not have to distribute them.

Staff attendance

Staff attendance is recorded under Attendance › Staff Attendance, separately from student registers. Absent staff show in the Needs attention panel on the administrator dashboard, and staff presence is one of the two figures in Attendance today.

Leave

Leave has two parts:

  1. Leave Types — the kinds of leave your school grants, defined once.
  2. Applications — individual requests, which an administrator approves or declines.

Staff apply from their own portal. Parents can also apply for leave on behalf of a child. Pending requests appear in Needs attention on the dashboard, so they do not sit unnoticed.

Staff trash

Removing a staff member moves the record to Staff › Staff Trash rather than deleting it outright, so a mistake can be undone and historical payroll and attendance records keep something to point at.
