In short. Define a grade scale once, create an exam, schedule it, let teachers enter marks, then publish. Grades are calculated from your scale — you do not enter them by hand. Nothing reaches students or parents until results are published.
Grade scales
Set this up first, under Exams › Grade Scales. A grade scale maps mark ranges to grades — for example 70 and above is an A, 60 to 69 a B, and so on, with whatever letters and boundaries your school uses.
Academiq applies the scale automatically when marks are entered, so a change to the scale changes how marks are graded from then on. Get it agreed before results go in.
Creating an exam
Under Exams › Exams, create the exam itself — what it is called, which term it belongs to, and the classes it covers. This is the container; the marks come later.
Scheduling
Exams › Schedules sets when each subject is examined. The schedule appears on the teacher, student and parent portals under Exam Schedules, so publishing it is how the school finds out the timetable.
Continuous assessment
CA Tests records assessment that happens through the term rather than in an exam week — class tests, coursework, practicals. Teachers enter these from their own portal. Depending on how your school weights them, CA marks contribute to the final result alongside the exam.
Entering results
Teachers enter marks from Enter Results on their portal, for the subjects and sections assigned to them. Administrators can see and manage everything under Exams › Results.
As marks go in, Academiq calculates the grade from your grade scale. Marks are validated on entry, so a mark outside the valid range is rejected rather than stored and discovered later.
Publishing
Results are not visible to students or parents until they are published. This is a deliberate step: it lets a head of year check a full set of marks before families see them.
Once published, students see them under My Results and parents under Results for their own children. Result sheets can be produced as PDFs for printing or filing.
Who can publish. Publishing results is a separate permission from entering them. By default teachers have it, but you can withdraw it from the teacher role so that only administrators publish — see Roles, permissions and portals.
Downloading result sheets
Result sheets download as PDFs. Access is checked on every download: a parent can only download their own child's sheet, and a student only their own. A link shared outside the school will not open for someone who is not entitled to it.
